Proposal Generation Settings
Proposals in the XtreamService application can be included in sales campaigns or sent automatically to the Customer application as service hot leads at a dealer-defined time each day. When proposals are generated, various filters can be applied to help display the proposals most likely to generate new sales opportunities. These filters can be defined on the following screens and sections.
- Custom Filter Rules panel of the Proposal Generation Settings screen
- General Settings panel of the Proposal Generation Settings screen
- Overall Filters screen
Note - The time of day that service hot leads are sent to the Customer application is defined in the Schedule Settings panel of the General Settings screen.
Proposals that meet the criteria defined on the Custom Filter Rules panel and the General Settings panel of the Proposal Generation Settings screen are generated and can then be filtered based on the criteria defined on the Overall Filters screen. Then, if proposals meet one or more criteria defined on the Overall Filters screen, the proposals are sent to the Customer application as service hot leads or are available to be included in sales campaigns on the Sales Campaign screen.
Using the Customer Filter Rules section on the Proposal Generation Setting screen, criteria can be defined to allow certain proposals to be generated. Separate criteria can be defined for each category of proposal, such as market value proposals or cash purchase proposals. To include or exclude proposals based on the type of proposal, select an entry in the Include/Exclude field. Then enter the criteria to include or exclude in the corresponding criteria fields as necessary and click the Add button. Once the Add button is clicked, a new criteria line becomes available, where additional criteria can be entered.
For example, suppose you want to generate market value proposals for all Toyota vehicles, except 2023 and 2025 Camrys. To generate these types of proposals for all Toyota vehicles, select Include in the Include/Exclude field and select Toyota in the corresponding Make field. Click the Add button to add the criteria. A new criteria line becomes available. To exclude 2023 and 2025 Camrys, select the following options:
- Exclude in the Include/Exclude field
- 2023 in the Min Year field
- 2025 in the Max Year field
- Toyota in the Make field
- Camry in the Model field
After the settings are saved, market value proposals are no longer generated for 2015 and 2016 Camrys.
The items in the Exclude from Proposal Generation section of the General Settings panel are used to define criteria for proposals that should not be generated. For example, to prevent proposals from being generated for body shop customers, select the Body Shop check box and click the UPDATE button to save the changes. Once The settings have been saved, proposals are no longer generated for body shop customers.
Once settings have been defined for generating proposals, the Overall Filters screen can be used to define additional filters to prevent proposals with lower prediction indicators from being automatically sent to the Customer application. Excluding proposals with lower prediction indicators helps to reduce the number of proposals that are less likely to result in sales.
The Overall Filters screen is divided into two sections, where you can define filter criteria based on the proposal type or the qualities of the proposal, such as payment variance or the number of months remaining on the customer's lease. Proposals are filtered separately for each section. For example, if a proposal does not match the criteria in the Lease Months remaining section but does match the criteria in the Payment Variance section, the proposal is not filtered out.
To define filter criteria for generated proposals, access the Overall Filters screen. In the Proposal Type Filters section, clear the check boxes to display criteria rows, and add criteria to indicate which proposals of the corresponding type should be sent automatically. The Other Filters section can then be used to define additional filters based on the qualities of a proposal, such as the payment variance for the customer or the number of months since the customer paid off their current vehicle.
If a proposal meets any of the criteria defined on this screen and the proposal is associated with a service customer, the proposal is sent to the Customer application as a service hot lead. In addition, if the proposal is associated with a sales customer, the customer's information is available when building sales campaigns on the Sales Campaigns screen.
Proposals that do not meet the criteria on the Overall Filters screen can still be viewed in the XtreamService application. To view proposals for service customers that do not meet the criteria defined on this screen, access the Service Traffic screen and expand the Upcoming Appointments panel. Click the number in the Outside Parameters column. Information for the proposals displays in the Results panel.
To view proposals for sales customers that do not meet the criteria on the Overall Filters screen, access the Advanced tab on the Campaign Criteria panel on the Sales Campaigns screen. In the Miscellaneous Information section, clear the Apply Overall Filters check box and then search for customers to add to the campaign. When this check box is cleared, proposals are included in the search results regardless of the criteria defined on the Overall Filters screen.
